General Information:
Session logs are required to be submitted within 24 hours after a tutoring session.
When filling out session logs, please describe what was accomplished and any difficulties the student still has in the "Enter summary of the tutoring session" area of the log. Remember, the “audience” for your session log is the professor teaching the course for which the student(s) sought tutoring.
How-To complete a session log for tutoring requests sent to you by the CTL (the session is requested through the Voyager system; the tutor is sent an e-mail asking him/her to accept the request):
These requests tend to be content, quantitative, or oral communications tutoring requests, though some students request writing tutors through Voyager as well. If you received an automated e-mail telling you that you have been requested as a tutor, and you responded to the CTL and the student that you accepted the request, then that request has been “assigned” to your account. You complete “assigned” requests and submit the corresponding session logs by doing the following:

Log onto Voyager

Select the menu section “Student Academic Services Menu”

Select “Center for Teaching and Learning”

Select “Tutor: Complete session log.” Inside this link will be a list of all of the tutoring requests that you have accepted and been “assigned.”

Select an assigned tutoring request and complete the session log, including the time, duration of your session, as well as a thorough summary.

Select Submit. Congrats!
How-To complete a session log for tutoring sessions that do NOT go through Voyager, you should do the following:
Some of the tutoring requests that you encounter do not go through the Voyager tutor request system. You may receive requests through e-mail or face-to-face encounters with students who know you are a tutor. These requests follow a different procedure than the Voyager-based new requests.

Log onto Voyager

Select the menu section “Student Academic Services Menu”

Select “Center for Teaching and Learning”

Select “CTL: Create and update tutoring session”

Enter the name of the “tutee” whom you tutored and hit Submit.

Select the correct "tutee" and hit Submit.

Ignore the sections “What days and times are best for your tutoring session?” and “Enter what kind of help is needed.”

Select the class the student is being tutored in (including the CRN) and what type of tutoring best fits the request you just completed.

Fill in the time and duration of your session, and complete a thorough summary of the tutoring session.

Ignore the "Release Session" field. Select "Reviewing" in the "Request Status" field.

Select a tutor (typically yourself, although you can add multiple tutors to a log [if applicable] by holding the CTRL key and left clicking the mouse).

Click "Submit".
*Note that you do NOT have to create a tutoring request and enter it into the Voyager system as a new request. By completing this log, you have created the session and submitted the log in one fell swoop.
To create a session log for a group session (any session involving more than one tutee), please do the following:

Log onto Voyager

Go to the menu section “Student Academic Services Menu”

Select “Center for Teaching and Learning”

Click “CTL: Create group tutoring session”

Select the appropriate course in the "Need tutoring in" field.

Click the drop-down arrow to view all of the options in the list. In addition to catalog course subjects, there are general subjects at the end of the list which are not associated with a specific course. These are:

ESL Oral Comm. Tutoring: help for non-native English speakers with fluency, pronunciation, etc. in English

ESL Writing Tutoring: help for non-native English speakers with preparing written work
-
Oral Communication Tutoring: help for fluent English speakers with preparing presentations not for a particular class (e.g, an honors thesis presentation).

Oral Comm. Tutoring-Spanish: help for non-native Spanish speakers with preparing presentations in Spanish
-
Other Tutoring: anything not covered by any other subject
-
Quantitative Tutoring: help with mathematical and statistical work not related to a course (e.g., reviewing mathematical concepts for the GRE or Praxis exam)

Writing Tutoring: help for fluent English speakers with preparing written work not for a specific course (e.g., a scholarship application essay)

Select the appropriate option under "Tutoring Type." Click “Submit”

Click “CTL: Add students to group tutoring session”

When you have selected your session, click the “Add a Student” button. Click the link as directed.

If you know the student's login name or ID, enter it in the field labeled "Student or Advisee ID." If you don't know the login or ID, you can search using the first or last name. You can use the wildcard (%) to search for only a part of the name. Leave the “All Students” radio button selected. Click the “Submit” button. Either the Student Verification screen or a new list on the Select Student screen displays. (Note: If the student you are searching for is not registered for any classes this term, you will receive an error message.)

If the correct student displays on the Student Verification screen, click the “Submit” button. If you are provided with a drop-down list, select the correct student and click the “Submit” button. You are returned to the “Add Students to a Tutoring Group” screen. The last student you added displays. (Note: once you add a student to a session, he or she cannot be deleted.)

Repeat the procedure above until you have added all students who attended the session. When you have added all students, click the “Back to Menu” button.

From the main menu, click the “CTL: Assign tutor and update single and group tutoring session” link. Find the group session you just created and added students to, select it, and click “Submit.”

Select your name as the tutor and set the log to “Assigned”. Click “Submit.

Return to the main menu

Select “Tutor: Complete session log.” Select the appropriate group session.

Fill in location, date, time, length, summary, and any additional tutors [select more than one tutor by holding down the CTRL key while using the mouse to click additional names]

Set the “Request Status” field to “Reviewing” and click “Submit.”
