Electronic Version of the Lawrence University Letterhead

The following link will allow you to download a Word document containing a version of the standard Lawrence University letterhead. This document was created to allow you to enter copy in Word and then submit your correspondence on official Lawrence University letterhead as a Word attachment in an email.

With many graduate schools now asking that letters of recommendation be submitted electronically on official university letterhead, this solution will give you the flexibility to accommodate those requests.

As with the printed version of the Lawrence University letterhead, college stationery is to be used for official business only and such stationery may not be altered in any manner (see Policies and Procedures: The Lawrence University Stationery System).

Troubleshooting downloading problems: If you are using an Internet Explorer browser from a MAC and are getting a "You are not authorized to view this page" message, try the following. When you click on the link to download the letterhead and the pop up "Connect to" box appears, try entering viking rather than the standard www.lawrence.edu entry in the Domain field. Enter your regular Lawrence User ID and Password. If the User ID field automatically reads "viking/your user name," remove the "viking/" from the entry.

If that doesn't help, there are more serious gremlins at work, which will require the assistance of Web guru Pete Gilbert or Computer Services.

Adding a signature: If the institution you are sending the electronic correspondence to requires a signature with the letter, you will need to create an image file to insert a signature into your Word document.

To do so, take your signature and scan it using one of the scanners on campus, save the image as a TIF file, and then load the image file on your desktop or in another location on your computer with easy access. In the Word document, when you have finished with your text and closing, simply place your cursor where you want the signature to go and access the Insert function in your toolbar. Select Picture and then From File.

A pop up box labeled Choose a Picture will appear, along with a list of the files or documents on your desktop, hard drive, or other location you have selected. Simply click on the TIF file you have created and it will automatically be inserted in the Word document where your cursor lies. When you save the Word document, the inserted signature link will also be saved.

If you are having trouble making the signature insert work or do not have ready access to a scanner, please contact Communications for assistance at 6586.
