Importing a list from Brio into Netscape 4

Part 1: Importing a Brio list into Excel

  1. Assuming you already have a file created from Brio open Excel and open the Brio file. The file will display.
  2. Arrange and sort the list to your specification (click on desired column heading and chooseData-Sort, click OK. At the Sort Warning window click OK). Listing is now sorted by that column.
  3. Save the file. Choose File-Save As. Change the file type to .csv (comma delimited).

Part 2: Importing the names into Netscape:

  1. Open Netscape.
  2. Open the Address book. Choose Communicator-Address book.
  3. Create a new address book. Choose File-New Address Book, type in a name for the address book.
  4. Click once on the new address book from the address book listings on the left side of the screen.
  5. Choose File-Import.
  6. Choose Text File from the Import Utility window. Click Next.
  7. Navigate to where the .csv file is saved. Double-click on it.
  8. Match up the fields to import. The left hand side of the window is the Netscape fields, the right side of the window is the .csv file (From the right side press the top drop-down field and select Last Name. Move to the second drop down field and select Email.
  9. Click Import.
  10. Addresses are now imported into specified Address book.

Part 3: Creating a group list from the imported address:

  1. From the Netscape, open the address book. Choose Communicator-Address book.
  2. Click on the New List icon or choose File-New List.
  3. Enter a list name in the List Name field (i.e. class name). Note, name must be all one word.
  4. Press TAB three times. Your cursor should now be in the name field.
  5. Drag names from the address book. (Note, to drag it may be necessary to move your active windows so you can see both the List window and your address book.) To drag multiple names at one time click on the first name and then hold down the CTRL key and select the next name. Continue holding the CTRL key until all list names are highlights. Let go of the CTRL key, point to selection and click and drag to the List window.
  6. When all names have been added click OK.
  7. You have now created an-mail list. To use this list press the New Msg icon and type in the list name in the To field. Continue to compose e-mail as usual.

Note when addressing an e-mail to a group list if the To field is select the list, when sent, will show everyone's name that is on that list. Your other option is to change the To field to BCC. This will send the list as blind carbon copy to all members of the list thus no one will know who else the list was sent to.
