Webmail
Webmail is Lawrence University's web-based e-mail client.
To access Webmail on or off-campus, you will simply need a computer with an internet connection and a web browser.

Accessing Webmail
- Using a web browser, such as Firefox or Internet Explorer, connect to https://mailhub.lawrence.edu
- Enter
your username and network password.
- Click Login.
Note: Webmail will time out if there has been no activity
for 30 minutes.
Working with Layouts
Webmail offers
two screen layouts, or skins. You may select the skin that best meets your needs based on the following information:
- Legacy offers the original Lawrence Webmail layout. This is the best choice for dial-up or slow network connections.
- LookOut offers a two-pane layout which is similar to Thunderbird Mail and Mac Mail. Features include spell check and drag-and-drop filing of messages. LookOut performs best on campus or on a broadband or high speed internet connection.
Changing Your Layout at Login
- From the login screen, enter your username and network password as you normally would.
- Before clicking Login, click on the Layout dropdown.
- Select the layout you prefer.
- Click Login.
Working with the Address Book
The Address Book feature allows you to find any Lawrence-affiliated e-mail address listed in the Lawrence directory when composing a message. To use the address book, login to Webmail and follow the instructions below:
- In Legacy: Click Compose (located at the top of the window).
In LookOut: Click New Message (located at the top left corner of the window).
- In Legacy: Click the Address Book button (located to the right of the To and Subject fields). Next to Display, select Lawrence Directory from the drop down menu and then click Display to reveal LU e-mail addresses.
In LookOut: Click the Address Book button (located in the top middle of the window) and select Lawrence Directory from the drop-down menu to search for an LU e-mail address.
- Highlight
the address to which you would like to send the message, and click the To button (located to the left of the list of addresses in Legacy; and located at the bottom of the list of addresses in LookOut)
to include this address.
- To search for an address in the directory, type part of the name of the person you are looking for in the Filter text field. Then press enter to see the
e-mail addresses matching your query. Highlight the address you would
like to send the message to, and click the To button
to include this address.
Automatic Forwarding
If you would like to have messages you receive at your Lawrence e-mail account automatically forwarded to a personal e-mail account, login to Webmail and follow the instructions below:
- Click Rules. (located at the top of the window in
Legacy; and located in the upper right corner of the window in LookOut)
- In LookOut: Select Edit your message redirection settings.
- Select the Redirect all mail
to checkbox.
- Enter the forwarding e-mail address in the text field.
- Select the Preserve To/Cc fields checkbox.
- In Legacy: Click Update.
In LookOut: Click Save.
Removing E-mail Forwarding
- Click Rules.
- In LookOut: Select Edit your message redirection settings.
- De-select or remove the check in the Redirect all mail
to checkbox.
- In Legacy: Click Update.
In LookOut: Click Save.
Vacation Message
You may set up a vacation
message to let contacts know, when they e-mail you, that you are unavailable. The
notice will remain in effect until you remove it. To set up a vacation message, login to Webmail and follow the instructions below:
In Legacy:
- Click Vacation Message.
- Select (check) the box to the left of Vacation Message.
- Enter your vacation
message in the text field.
- Scroll down and click Update.
In LookOut:
- Click Rules. (located in the upper right corner of the window).
- Select Set your vacation message.
- Select the Enabled checkbox.
- Enter your vacation
message in the text field.
- Click Save.
To Remove Your Vacation Message
In Legacy:
- Click Vacation Message.
- Remove the check next to Vacation
Message.
- Click Update.
- Select and delete your vacation message in the text field.
- Click the Clear 'Replied Addresses' List button.
- Click Update.
LookOut:
- Click Rules.
- Select Set your vacation message.
- Select the Disabled checkbox.
- Select and delete your vacation
message in the text field.
- Click the Clear 'Replied Addresses' List button.
- Click Save.
E-mail Filtering with Webmail
Below is the general procedure for entering rules in Legacy.
- Click Rules.
- Type in a rule name, then click Add Rule.
- Select Edit to the right of the rule that was just added.
- Select the field
by which you wish to filter in the Data drop-down list.
- Select the operation you
wish to use ("in" will allow you to insert multiple parameters; "is" will allow only a single value).
- The Parameter field
should contain the text you are filtering. This is case sensitive. You
may want to add multiple values to catch all
combinations of case. Also, you will probably want to use the wildcard
character (*) to include as many variations as possible. For example, to eliminate
any
mail with the word "mortgage" in the subject, choose the following
options: select Subject in the Data field, In in
the Operation field, and type in "*mortgage*,*Mortgage*,*MORTGAGE*" in the Parameter field.
- Click Update when the conditions are set.
Creating a Junk Folder
Creating a Junk folder in your Webmail account will allow the Lawrence mail server to automatically filter your mail. Without a Junk folder, spam will likely overrun your Inbox. To create a Junk folder, login to Webmail and follow the instructions below:
- Legacy: Click Folders.
LookOut: Right click on the Inbox Folder. Select Create Folder.
- Legacy: In the text field next to Create Mailbox, type “Junk” (with a capital ‘J’ only).
LookOut: In the text field next to Name, type "Junk" (with a capital ‘J’ only).
- Click Create.
Adding a Signature
Many people choose to configure their e-mail account so that any message originating from their account shows their name, title, and contact information. This is useful because it allows you to refer contacts to your information without having to type it in the body of each message. To add a signature, login to Webmail and follow the instructions below:
- Click Settings.
- Click the Compose tab.
- In the Signature text field, enter your signature data.
- In Legacy: Click Update.
In LookOut: Click Save.
Checking Your Quota
Students, faculty, and staff all receive 100 MB of e-mail quota. To check the amount of quota you are currently using, login to Webmail and follow the instructions below:
In Legacy
- Click the Folders icon at the top of the window. The quota amount will be displayed in the upper right corner.
In LookOut
- Scroll to the bottom of the folder list on the left side of the window. A progress bar displays the amount of quota being used.
Cleaning Up Your Junk, Trash, and Other Folders
E-mail folders (sometimes referred to as 'mailboxes') need routine cleanup. Because deleted messages are sent to the Trash folder by default and spam messages may be sent to the Junk folder by default, it is important to empty these folders regularly. Other folders, such as your Inbox and Sent folders, require periodic assessment as well.
When deleting messages individually to save space, it is useful to sort messages within a given folder by size. To do this, simply click Size at the top of a folder containing messages, and you will be presented with an ascending list of messages. You may then delete the largest (and most problematic) messages from your account.
Note: All messages deleted from the Junk, Sent, Inbox, etc. folders are sent to the Trash folder by default, which will then also need to be emptied. The Trash folder is automatically emptied periodically. To change how often it is emptied, click on Settings and change options shown under Trash Management.
The following is an example cleanup routine in Legacy:
- Click Folders at the top of the page.
- From the list of folders under Mailbox, choose any desired folder.
- To delete messages individually, check the box next to each unwanted message and click Delete in the bottom left corner of the screen. You may also delete all messages in a folder at once by clicking Mark All in the upper right corner of the screen, and then by clicking Delete.
Another method of reducing the amount of quota used is to target messages with large attachments. As discussed above, organizing the messages in a particular folder by size can help you find the largest (and, thus, most problematic) messages in that folder. Before deleting messages with large attachments, you may wish to save the attachment to your network space or to USB/flash drive.
