Each student will be provided account access to the university-maintained e-mail system, a file server with a home directory for storage of important documents, and access to applications for on-line viewing of student records or finding e-mail addresses of other students. Students cannot access the computers in public computer labs without valid computer accounts.
Staff and faculty members will be provided account access to the university-maintained e-mail system, a file server with a home directory for storage of important documents, a file server with a departmental share for the storage of and access to shared departmental data and files, and access to administrative applications as required by each individual position.
Each student computer account is automatically set up by Information Technology Services, but a student cannot obtain access to it until he or she has attended an orientation session and understands the Acceptable Use Statement. This statement represents a pledge to use computing and network resources in keeping with the professional and ethical standards, which the university promotes. It contains specific language regarding the intended use of resources, privacy and security standards, agreements to respect intellectual property rights, and policies regarding Internet use.
Staff and faculty member computer accounts are automatically set up and username/password information is provided to the department head for staff accounts and to the Instructional Technology Coordinator for faculty accounts. Staff and faculty members are also bound by the Acceptable Use Statement. In all cases, the user will receive a username and password enabling access to the file server, e-mail, and any appropriate applications. Each user will be forced to change passwords periodically and is encouraged to change them often. In the event that a user cannot log in using the assigned username and password, or cannot recall a current password, call the Information Technology Services Helpdesk at 832-6570 for assistance.
In the event that a student needs to have a password changed by the Helpdesk, he or she must visit the Helpdesk in person and must bring his or her valid Lawrence ID.
Student computer accounts are provided for personal use only. Each remains active during the academic year as long as the student is enrolled in coursework and continues to use the account.
Staff and faculty accounts are provided for individual use only. Each remains active as long as the individual retains current Lawrence employment status. Faculty may obtain approval to access their accounts prior to their actual start date or retain access for a short time following departure from Lawrence at the discretion of the Dean of Faculty. Emeriti faculty are also granted the right to retain accounts at the discretion of the Dean of Faculty.
In certain circumstances, shared accounts may be created to better service a particular function of an academic of administrative department. Please contact the Helpdesk for more information on theses kinds of accounts.
Computer accounts for graduating or departing students are removed within one month after the change of the student’s status. Before leaving, such persons should make personal copies of any files or information they wish to retain.
Computer accounts for departing staff and faculty are locked when Information Technology Services is notified of the departure. Files and e-mail for departed staff and faculty are retained for 30 days. It is the responsibility of department heads to contact Information Technology Services if these files need to be retained beyond that point. Otherwise, after 30 days the accounts and all associated files will be deleted.
Remote access to Lawrence e-mail is possible via an Internet service provider. Note that some popular e-mail clients support both the POP and IMAP protocols. It is necessary to select the IMAP protocol when configuring these products. Contact the Helpdesk at 832-6570 for further information.
