
Use the LU Calendar site to find potential conflicts with your group. Select three viable dates and clearly explain your circumstances. Also, know that many groups want to come up at the beginning of each term to get off to a good start. Please also consider weekends later in the term to focus on continuing your group's efforts.
Currently, Björklunden experiences about a 14% drop-out rate from estimated numbers to participants actually arriving at Björklunden. That means about 90 spots go unfilled each term!
So, for example, if you have 50 members of your group but only 15 show up for regular meetings, a conservative estimate might be 20 total participants. IF you want all 50 members of your group to come, you must take all necessary measures to guarantee 50 people will come!
Also note that you may be asked to lower your estimate to accommodate your group as well as others. And be warned: groups that cancel with less than two weeks notice or bring fewer participants than expected will be given a lower priority when scheduling future groups.
Student-led groups must review their completed proposals with Amy Uecke, Associate Dean for Campus Life (Memorial Union), or Nancy Truesdell, Vice President for Student Affairs and Dean of Students (Raymond House) no later than 24 hours before the deadline. They will transmit their approval via e-mail to Björklunden.

Late applications will be considered after all other groups have been scheduled. If there are too many groups to schedule, a waiting list will be created and all efforts will be made to eventually schedule all groups. If your group is not scheduled, your group will be given special consideration during the next scheduling cycle.
Respond promptly to emails. After the deadline, it's important to stay in close contact with us here at Björklunden. If you aren't able to check your e-mail daily, please contact us with a surrogate leader who can act in your absence.
Once the scheduling process is complete you will be contacted by Björklunden with your date and participant allowance. You will also be notified of an important meeting that all Student Group Leaders are required to attend.
Also attached to the confirmation e-mail will be a list of rules and procedures that you must know and agree with. To confirm your group's reservation, respond quickly to this e-mail and confirm with us that you have read, understand, and will abide by the rules and procedures.
List Group Participants and Details Two weeks prior to your arrival you will receive via e-mail a document to read, complete, and return to Björklunden. This information is needed to plan for your transportation, food, and lodging.
Group leaders are responsible for keeping their group members informed. It is very important to bring as many participants as possible without exceeding your participant allowance. Group leaders are expected to communicate rules and schedule information and distribute your scheduled events to your group members.
Nearly every group experiences last-minute changes during the week leading up to your arrival at Björklunden. Please communicate these changes to Kim at kim.a.eckstein@lawrence.edu as soon as possible.
Inform your group members to arrive at the Lawe Street turnaround behind the library at least ten minutes prior to departure.
